Assistant Manager – Private Hunting & Fishing Club – Dallas, TX
A private 50-member club situated on 750 acres near Dallas/Fort Worth. The property features a private sporting clays course, rifle and pistol range, a 140-acre fishing lake, extensive duck habitat and hunting blinds, and a tower for European-style pheasant shoots. Our mission is to deliver an exceptional outdoor and hospitality experience to every member and guest, every visit.
Position: Assistant Manager
Position Overview:
The Assistant Manager is the day-to-day operational leader and the on-site face of the Club to members, family, and guests. The Assistant Manager owns the visible condition of the property, supervises on-site staff and contractors, executes events, shoots, hunts, and rentals, and personally drives the member experience during visits. This is a hands-on leadership role for someone who can manage people, inspect and care for property, coordinate vendors, support hunting/fishing/shooting activities, and interact with members in a warm, polished, service-first manner.
The ideal candidate combines private-club hospitality, ranch/outdoor operations judgment, facilities discipline, and practical leadership. This person must be visible to members, highly responsive, calm under pressure, and willing to do whatever reasonable work is needed to keep the Club ready, clean, safe, personal, and enjoyable. The Assistant Manager partners with the Executive Manager, who retains responsibility for board interface, financials, HR policy, contracting, and strategic planning.
Reporting Relationship
- Reports to the Executive Manager.
- Provides daily direction to on-site staff, seasonal help, cleaning crews, event labor, and contractors while they are working on the property. Final employment, compensation, hiring, and termination authority is retained by the Executive Manager and Board.
- Works closely with committee chairs and program leaders as directed by the Executive Manager.
Responsibilities: Specific responsibilities include but are not limited to:
- Responsible for hospitality staff and related personnel: Establish and approve workloads and schedules, processes, procedures and work On-call as needed by employees on weekends and holidays. Personally responsible for filling all gaps in hospitality personnel scheduling.
- Responsible for ensuring timely and responsive coverage of the On-Duty phone by hospitality staff each day of the year.
- Responsible for maintaining the shared staff calendar, including staff schedules and vacations, on-duty number assignment, facility rentals and reservations, boat requests, member usage, etc.
- Oversee the care and maintenance of all the Clubs physical assets and grounds
- Ensure proper cleanliness and sanitation of all Club facilities and environments
- Ensure all technology at each building is in proper working order and update, coordinate repairs and/or replace as necessary
- Responsible for the Rifle and Pistol Range including upkeep and activities and oversight of the Sporting Clays Course maintenance
- Oversee and inspect all aspects of equipment maintenance, including Club carts, boats, heavy equipment, and light equipment – ensure equipment, cart, and boat maintenance is properly recorded in the maintenance log
- Handle emergencies such as fires, accidents, and breaches of security, emphasizing prevention through training, inspection, and preventive All incidents must be reported immediately to the Executive Manager
- Monitor and maintain front gate security systems, including obtaining and updating TollTag information from members, and accessing video footage and images as needed
- Rules & Regulations Enforcement: Continually educating members and guests about club rules, particularly ones they might not be abiding by. Reporting member infractions to Executive Manager for necessary
- Monitor and maintain food and beverage inventory, including all snacks, water, sodas, alcohol – ensure Club does not violate local liquor laws and does not make liquor available to any person under the age of 21.
- Monitor email traffic and ensure timely responses to questions or needs for multiple email addresses.
- Schedule, give direction to and work closely with vendors, outside contractors, firms, and individuals providing services to the Club
- Procure multiple quotes for materials and supplies (diesel, gas, road base, rip rap, etc) ensuring competitive pricing and fiscal responsibility
- Manage rental of liquor lockers, including assigning lockers and annual billing
- Serve as needed as related to special projects, such as construction or events
- Organize and supervise storage of barn and workshop items and ensure proper cleanliness and coordination
- Assist Executive Manager in coordinating and ensuring the success of each Club event.
- Assist Executive Manager in coordinating and ensuring the success of each external event hosted at the Club, including member events and event hosted by outside organizations.
- Member Cabin Rental Reservations: Coordinate all requests with Executive Manager and ensure applicable staff are scheduled as needed per reservations and special needs, ensuring spaces are prepared for reservations
- Clubhouse Rental Reservations: Coordinate all requests with Executive Manager and ensure applicable staff is scheduled as needed per reservations and special needs, ensuring spaces are prepared for reservations.
- Assist Executive Manager with all pheasant tower shoots, including: Sourcing, reserving, ordering pheasants needed and scheduling delivery dates for each hunt. Selecting and hiring vendors for various shoots, including catering, bartenders, tent facilities, and portable restroom facilities. Coordination of all vendors on day of each shoot. Coordination of all staff and hired hands for both day before and day of shoots. Distribution of and accounting for ammunition for each shoot.
- Point of contact for Lake & Fishing Chair and Lake Management Consultant – ensuring weekly water quality testing is completed and submitted, attending all meetings and site visits with Lake Management Consultant, quality control and cleanliness of boats, boat docks, fishing and boating supplies. Supervise and ensure regular drone footage is taken of the lake
- Cabin Owners and Cabin Owners Association:
- Point of contact for all Cabin Owner issues/needs
- Coordinate vendors and scheduling for all recurring bulk services
- Coordinate repairs and maintenance issues with staff and/or outside vendors as requested
- Manage landscape issues, needs and repairs, including irrigation and water issues, with owners and staff
- Coordinate access to Cabins as requested by owners
- Prepare monthly spreadsheet of all reimbursements, bulk services costs, staff time, materials costs, special projects, and all other costs incurred by cabin owners for submission to Executive Manager for billing

- Events, shoots, hunts, cabin stays, clubhouse rentals, and weekend activity feel organized and personal.
- Equipment, carts, boats, facilities, and supplies are ready when members need them.
- The Executive Manager is materially relieved of daily on-site execution and can focus on Board, finance, governance, member administration, and higher-level oversight.
- Issues are identified early, communicated clearly, and followed through to completion.
