About the role

We’re conducting a confidential search for a year-round manager to lead day-to-day operations at a private, members-only outdoor retreat. The manager stewards the full guest experience and the property’s assets—spanning hospitality/lodging, housekeeping, reservations, facilities/grounds, safety/compliance, vendors/contractors, and seasonal readiness. Reports to the principal decision-maker/board representative. On-property presence is required during peak periods.

What you’ll achieve (first 12 months)

  • Deliver a consistently excellent member experience across lodging and on-property services with clear service standards and issue-resolution protocols.
  • Stand up a proactive facilities plan (preventive maintenance, inventory, and vendor SLAs) covering all buildings, equipment, and life-safety systems.
  • Install a seasonal open/close playbook (checklists, testing, timelines, staff housing readiness) to ensure smooth shoulder-season transitions.
  • Implement clean, auditable admin flows for bookings, notifications, purchasing, and expense controls with simple dashboards.

Key responsibilities

  • Member experience & lodging operations
  • Set service standards; supervise daily lodging operations and housekeeping turnaround expectations.
  • Manage bookings, room assignments, and communications; maintain discreet, responsive support for member requests.

People leadership

  • Foster a calm, collaborative environment—resolve conflicts early and model professional, gracious conduct.

Facilities & property care

  • Own seasonal opening/closing checklists; coordinate pre-season testing and equipment readiness.
  • Maintain inventories of property assets/tools; ensure systems are serviced, stored, and safe.

Safety, compliance & risk

  • Maintain fire-detection/suppression equipment and life-safety logs; schedule periodic functional tests/drills.
  • Coordinate required water/health testing and documentation; keep emergency procedures current and accessible.
  • Vendors, purchasing & contractors• Source and manage outside vendors/contractors; obtain written scopes/estimates; monitor performance to agreed conditions.
  • Track small discretionary purchases; document approvals and receipts.

Administration & finance (light ops)

  • Keep tidy records for reservations, usage-based bill-backs, and routine notifications to accounting; maintain simple cost controls.
  • Produce brief monthly status notes to the principal/board designee.

Community & stakeholders

  • Represent the retreat professionally with neighbors and local authorities; escalate issues thoughtfully and keep the board informed.

Qualifications

  • Calm, detail-oriented communicator; high discretion, excellent judgment, and bias to action.
  • Demonstrated strength in seasonal staffing, vendor/contractor oversight, and preventive maintenance planning.
  • Comfortable with basic admin systems (property/booking software, spreadsheets; accounting tools or equivalent).
  • Willing to work extended hours in peak season; thrives in an outdoor, service-centric environment.
  • Possess general handyman skills (basic carpentry, plumbing, electrical) for making general repairs and comfortable working indoors/outdoors in varied conditions.
