Property & Grounds Coordinator / Member Hospitality

Location: Dallas/Fort Worth Area

Position Type: Full-Time | Weekends Required (Saturday & Sunday)

About the Club:

We are a private hunting and fishing Club located on 750 acres near Dallas/Fort Worth with 50 members. The Club features a private sporting clay course, rifle and pistol range, 140 acre fishing lake, extensive duck habitat and hunting blinds, and a tower for European-style pheasant shoots. Our mission is to provide an exceptional outdoor and hospitality experience to our members and their guests every time they visit.

Position Summary:

The Property & Grounds Coordinator is the operational backbone of the Club. This is a hands-on, physical role responsible for keeping every acre, facility, and piece of equipment in excellent condition — clean, safe, stocked, and ready before members arrive. The majority of the work week is property and facility maintenance, while assisting other staff members with projects and working on large team projects.

Equally important: this person is often the first — and sometimes only — Club representative a member or guest encounters on-property. When members are present, member interaction takes immediate priority. Maintenance tasks pause. A warm, attentive, solutions-first attitude toward members and guests is non-negotiable.

Primary Responsibilities:

The bulk of this role is maintaining a large, working outdoor property across five zones on a weekly schedule. Responsibilities include but are not limited to:

Equipment Readiness

  • Clean, gas, and fully stock all carts; ensure two clean carts are staged at the front drive at all times
  • Clean, fuel, start, and run all boats; inspect and confirm batteries and trolling motors are operational

Grounds & Roads

  • Blow off and maintain blacktop roads throughout the property
  • Mow, edge, and weed-eat sporting clays course, rifle and pistol range, front entrance, and common areas
  • Treat ant piles; apply snake repellent at the Clubhouse and Cabin #9 on a scheduled basis

Facilities & Docks

  • Clean and maintain the boat dock and Mimi & Pops dock, including removal of spiderwebs, wasps, and dirt dauber nests
  • Maintain the front gate, keypad, and entry signage — clean and fully operational at all times
  • Empty all trash cans across the property; clean up around the dumpster when needed
  • Restock firewood at the Clubhouse and Rental Cabin

Sporting Clays Course

  • Perform daily course inspection: check machine batteries, refill clays, inspect traps
  • Clean and blow off all shooting stations; pick up spent shells and trash
  • Basic sporting clay machine troubleshooting and repair is a plus

Consumables & Inventory

  • Monitor and restock barn fridge, beer and wine cooler at Clubhouse, and ice makers in Barn and Cabin #9
  • Maintain and clean the fishing stations at Boat Dock and Clubhouse; inspect and clean life jackets and first aid kits
  • Check club mailbox daily and assist with packages and freight deliveries

Secondary Responsibilities — Member Hospitality:

While maintenance is the daily driver of this role, member experience is always the higher-order priority when members are on property. This person must be comfortable shifting gears instantly — setting down the weed eater, cleaning up, and engaging members with the same energy and attitude as a seasoned hospitality professional.

  • Greet members and guests warmly and by name whenever possible; make every person feel personally recognized and valued
  • Assist with day-of logistics for duck hunts, pheasant shoots, sporting clays, fishing trips, and Club events
  • Support members with fishing and boating activities — launching boats, rigging rods, locating equipment
  • Respond promptly and helpfully to member questions, requests, and needs, whether in person, by phone, or by text
  • Anticipate member needs before they are asked — a well-prepared property is itself a form of hospitality
  • Flag any member feedback, concerns, or facility issues to Club management promptly

Qualifications:

Technical / Operational

  • Prior experience in grounds maintenance, property management, or outdoor facility operations
  • Comfortable operating mowers, weed eaters, blowers, and related outdoor power equipment
  • General knowledge of boats and basic mechanical troubleshooting
  • General knowledge of shooting sports, hunting, and fishing
  • Comfortable and experienced around firearms and firearm safety
  • Able to perform physical outdoor work in Texas heat; reliable and punctual
  • Sporting clays machine knowledge is a plus
  • Skid steer and/or tractor experience is a plus

People / Hospitality

  • Outgoing and personable; able to engage warmly with a broad range of personalities
  • Service-oriented mindset — solutions first, complaints never
  • Proactive and detail-oriented; notices what needs doing without being told
  • Prior hospitality, member services, or customer-facing experience is a plus
  • Dependable and punctual
  • Highly adaptable professional, excelling in both independent and team-based work

What Success Looks Like

Six months in, a successful coordinator has made the property feel effortlessly maintained — members notice the carts are always clean, the boats always ready, the docks always clear. More importantly, members know this person by name, trust them, and feel genuinely welcomed every time they arrive. The coordinator proactively flags issues before they become problems and treats every member interaction as the most important task of the day.
