Ranch Caretaker’s Job Description
Position Summary
The title of the position shall be Ranch Caretaker (RC), is a salaried, 40 hour a week, full time position. The Ranch Caretaker is responsible for maintaining the Ranch facilities and grounds including the Pavilion area, RV Storage and the Reservoir, Ranch House, Ranch Office, Equipment and Tools. The RC must demonstrate strong Interpersonal skills in the areas of policy administration, maintenance and Member relations.
Essential Job Requirements
- Education: High School diploma or GED equivalent
- Successful completion of criminal background check and drug test
- Current Colorado Driver’s License or ability to obtain within 60 days
- Nonsmoker
Personality/Style: Must be relational in demeanor and be able to work well with the Board of Directors, property owners and contractors. The RC must be able to effectively promote harmony in working relationships. The RC must be able to work independently with a minimum of supervision. Ability to direct and work collaboratively with Office Assistant and volunteers.
Skills/Experience:
- Verbal skills to effectively dialogue with the Board of Directors, Members, public officials, contractors and visitors. Verbal and non-verbal skills and experience to successfully address and resolve difficult interpersonal and service situations with courtesy and tact.
- Proficient computer skills to send/receive emails, text messages, develop word and spreadsheet documents, operate copier and office phones.
- Hands on skills/experience in the following areas of maintenance:
- Fence repair, maintenance and installation
- Household plumbing and electrical not requiring a license
- Household repairs including doors/windows, siding, painting, decking, filter servicing to include water and HVAC.
- Dirt/gravel moving, grading, leveling, filling.
- Drainage maintenance
- Operate manual transmission tractor and implements including loading and unloading trailer and securing load for transport.
- Ability to tow and maneuver trailers attached to towing vehicle.
- Mowing, weed control, reservoir grass/tree maintenance
Character: Must have integrity in financial matters, ethics in moral values and demonstrate respect for all individuals and protect the privacy of sensitive or personal information about Members or Board Members.
General Areas of Responsibility
Rules and Policy Administration:
- Promote, maintain and support RORA Rules and Policies
- Plan, implement and maintain Board approved projects to ensure completion is timely and within budget.
- Work collaboratively with Board, Members and Committees to propose new projects to the Board for approval, prioritizing and including in the budgetary process.
- Perform other tasks as directed by the Board of Directors.
- Work collaboratively with Office Assistant, Board Members, Members, Committee Members and volunteers on education, distribution, review and updating of rules and policies.
- Function as the Chair of the Rules Committee. Scheduling monthly meetings when necessary, preparing, posting and distributing the meeting agenda, taking/reporting minutes, assisting in complaint resolution and working collaboratively with Board Liaison to support the Rules and Policy of RORA. Chair provides a report to the Board at each Board Meeting.
Maintenance:
- Maintain all areas of the Buffalo Creek Reservoir including willows, seaweed, dam, in/out flow areas, release hardware, reservoir liner, fencing, varmint control, access, Member comforts (porta-potties, trash, parking)
- Ensure that Ranch properties, equipment and tools are maintained in good working order.
- Maintain all common areas for cleanliness, state of repair and snow removal.
- Coordinate and review the work of sub-contractors.
- Maintain pastures (fencing, land, water) and assist with record of horse owner agreements and information.
- Coordinate and maintain safe and organized R.V. storage lot including fence, gate, parking slots. Works collaboratively with Office Assistant to ensure storage agreements are completed, billing is correct, and trespassing vehicles are addressed on a timely basis.
Public Relations:
- Stay well informed about issues that affect or may affect RORA and our property owners.
- Actively promote good relations among and between property owners and the Board of Directors.
- Assume the obligation of “eyes and ears” of the Board of Directors to help the Board of Directors focus on the top priorities and needs of the Ranch.
- Maintain positive relations with Federal, State, County and Special District Entities.
- Assist Office Assistant in scheduling/directing volunteers for various tasks around the Ranch.
Accountability:
The RC reports to the Board of Directors and specifically to the Board designated Board Member. The probationary period will be 6 months. RC will receive a review of performance at 3 and 6 months, and annually thereafter during anniversary month. The RC will receive an annual review by the Board designated Board Member with input from all Board Members.
Salary and Benefits:
Salary will be established by the Board of Directors and reviewed annually or earlier if conditions warrant. Salary will be paid on a monthly payroll via direct deposit.
Housing – RORA may provide housing or a housing stipend. Either benefit will be considered taxable income and included on RC’s monthly payroll.
Ranch Cell Phone – a cell phone will be provided to the RC for Ranch business. The phone and data contents are considered RORA property.
Utilities – TBD
Workers’ Compensation Insurance – provided by RORA
Paid Time Off – The RC will earn 21 workdays of paid time off per anniversary year to be used at the RC’s discretion. 21 days will accrue at the rate of 1.75 days per month, accruing on the last day of the first month of employment. After 5 (five) years of service, the PTO will be increased to 26 workdays of PTO accruing at the rate of one day every two weeks. No more than 40 days of PTO may be used in any calendar year. The RC must notify the Board designated Board Member in writing at least 30 days in advance of planned PTO of 5 days or more and 7 days in advance of planned PTO less than 5 (five) days off so arrangements can be made for coverage during the RC’s absence. A form “Request for Time Off” is available for this purpose.
Time off, in excess of the allotted PTO, shall be considered time off without pay, and deducted from the paycheck, unless covered by other benefits (e.g., FAMLI).
Mileage paid for use of a personal vehicle on Ranch business only at IRS rates after approval from Board Member.
Due to the peak Member activity on the Ranch from May through September, the RC will be required to work or be on call on the following holidays:
- Memorial Day
- 4th of July
- Labor Day
- Annual Meeting – 2nd Saturday of August
The RC will receive an alternate day off for working these holidays. Alternate day off must be used within 2 weeks of worked holiday. For the holidays of New Year’s, Thanksgiving and Christmas, if these holidays fall on a regularly scheduled workday, the Ranch Office will be closed, and the RC will be given the day off with pay.
General Schedule and Related Information:
The RC will fulfill the job duties Wednesday through Sunday (weather and/or unusual emergency conditions may dictate a change in schedule). The general hours shall be 7:30 a.m. through 4:00 p.m., with a 30-minute lunch hour. The Ranch Office will be open from 8:00 a.m. until 12:00 p.m., unless otherwise posted. RC is not required to remain in the Office during Office hours when Office Assistant is present in the Office.
In the event injury or illness prevents the RC from performing his/her duties, the Board designated Board Member must be notified, so that arrangements can be made for coverage during the RC’s absence. In the event the RC is, or will be, unable to perform his/her duties for an extended period of time ( in excess of 20 days ), the Board of Directors will be required to call an Executive session and determine what course of action should be taken to provide coverage ( i.e. place on leave or replace the RC ) to ensure that the needs of the Members are satisfied.
This position is expected to provide 3 months or 12 weeks of notice prior to voluntary termination.
The RC shall be required to maintain a time sheet record (per month) of daily hours worked, PTO or any other absence and any additional hours more than 40 hours weekly.
This time sheet, recording hours worked from first of month to end of month, must be maintained in the Ranch Office. Monthly salary will be paid on the monthly payroll and paid via direct deposit. Payday is the 9th of the month following the end of the pay month.
If additional hours (more than 40 hours weekly) are necessary, the RC will document on the time sheet record. At the Board’s discretion, flex time shall be permitted.
